Quick reminder: invoice INV-0142

Hi Dana,

Hope the launch went well. The new site looks great out in the wild! A quick note that invoice INV-0142 for £4,800 was due yesterday. In case it slipped through the cracks, I've attached it again with the bank details.

Thanks so much, Sam

You did the work. Now you're the debt collector.

Hi! So sorry to bother you again…

Just circling back on this, no rush at all!

Not sure if my last three emails reached you?

Per my previous email…

Chasing feels awkward
You rewrite the same follow-up five times, then don't send it. Days turn into weeks, and the invoice quietly ages.
You're afraid of losing the client
Too soft and you get ignored. Too blunt and the next project goes elsewhere. Finding the right tone is exhausting.
You don't know your rights
In the UK and EU, businesses can usually claim statutory interest and fixed compensation on late invoices. Most freelancers never do.

Set up an invoice in about a minute

No accounting software, no integrations, no migration. Just the invoices you already send.

  1. Step 1: Add the invoice

Upload a PDF or a photo, or forward what you made in Google Docs, Wise or PayPal. PayNudge reads the client, amount, currency and due date. You check it in seconds.

  2. Step 2: Set the tone for this client

Warm, neutral or firm, plus the relationship: long-term, new, or a repeat late payer. PayNudge plans a five-step sequence that fits.

  3. Step 3: Approve, and get paid

Each reminder waits for one click from you. It goes out under your name and replies land in your inbox. Mark the invoice paid and everything stops.

Reminders that sound like you, not a robot.

Paste two or three emails you've written to clients. PayNudge picks up your greeting, sign-off, sentence length and how direct you like to be, then drafts every reminder in that voice.

  • Tone per client. Keep it warm with the agency you've worked with for years, and firm with the one that always pays in month three.
  • Relationship-aware. New clients get more context. Repeat late payers get fewer pleasantries and clearer deadlines.
  • Facts from your invoice, never invented. Amounts, dates and interest figures are filled in by PayNudge, not guessed by the AI. You can edit any draft before it goes.

Knows when to get firm.

Five steps, each a little more direct than the last. Timing counts from the due date, emails only go out on business days, and you can change any step.

Custom sequences and timing are available on Pro and Studio.

  1. Day 1

    Friendly reminder

A light nudge the day after the due date, with the invoice and your payment link attached.

  2. Day 7

    Check-in

Asks whether anything is holding the payment up, and makes it easy to reply with a date.

  3. Day 14

    Firm reminder

Clear and polite. States how overdue the invoice is and asks for payment by a specific date.

  4. Day 30

    Statutory interest notice

    Pro & Studio

For UK and EU business clients: the interest and fixed compensation you're entitled to, calculated for you.

  5. Day 45

    Letter before action

    Pro & Studio

A formal draft with PDF export for you to review. It is never sent automatically.

Knows your rights, so you don't have to look them up.

When a business client pays late, the law is often on your side. PayNudge calculates what you can claim and drafts the notice for you.

United Kingdom

Late Payment of Commercial Debts (Interest) Act 1998: the Bank of England reference rate plus 8% a year, plus fixed compensation of £40, £70 or £100 depending on the amount.

European Union

Late Payment Directive 2011/7/EU: the ECB reference rate plus at least 8 percentage points, plus a minimum of €40 compensation for recovery costs.

These rules apply to business-to-business invoices, and contracts or national law can change the details. This is general information, not legal advice.

Persistent, but never out of your hands

Nothing goes out without your approval
Every email waits in your queue by default. On Pro and Studio you can switch on auto-send for clients you trust. Letters before action are always drafts.
Replies land in your inbox
Emails are sent under your name, and the reply-to address is yours. Your client talks to you, not to a collections bot.
Stops the moment you mark it paid
Mark an invoice paid and the sequence ends instantly. A promise to pay pauses reminders until that date. Partial payments update the balance.

Built for people who invoice from a PDF

If your invoicing lives in a document and a bank app, PayNudge fills the gap between sending an invoice and getting paid.

  • Small agencies and studios, including those billing under several brands
  • Anyone who invoices from a PDF, Google Docs, Word, Wise, PayPal or Stripe payment links
  • Business clients anywhere, in any currency

Probably not for you if

  • You already chase through Xero, QuickBooks or FreshBooks reminders and they work for you
  • You collect consumer debts. PayNudge is built for business-to-business invoices

A note from the founder

“Most freelancers who get paid late don't have a money problem. They have an awkwardness problem. PayNudge exists to take that part off your plate, without ever pretending to be you behind your back.”

PayNudge is new, so you won't find customer logos or testimonials on this page. We won't invent them. What we can show you is the product itself, a free calculator you can use today, and a few promises we've built into the software rather than the marketing: nothing is sent without your approval unless you choose otherwise, your client always replies to you, and a letter before action is never sent automatically.

If something is missing or confusing, write to support@paynudge.site. A real person reads every message.
